Compress PDF to 200KB or Below 1MB for Online Forms
· ZapToolbox guides
To compress a PDF to 200KB or below 1MB, open a free tool such as our Compress PDF, choose the "Recommended" level, and check the new size. If it is still too big, switch to "Strong" or tick black & white, which usually brings a scanned document well under the limit. If your PDF is mostly typed text and will not shrink, the fix is different, and we explain it below.
Online forms for exams, jobs, scholarships, PAN, passport and college admissions often set strict upload limits like "PDF below 200 KB", "maximum 500 KB" or "file size less than 1 MB". This guide shows how to hit those numbers on a phone or laptop without installing anything.
Why your PDF is too big in the first place
Knowing what makes a PDF heavy tells you which fix will work:
- Scanned documents and phone photos are stored as large images. A single page clicked on a modern phone camera can be several MB. These shrink the most.
- Typed PDFs (made from Word, Google Docs or a website) store text as text. They are usually small already, often well under 200 KB per page.
- Many pages add up. A 20-page scan will struggle to fit in 200 KB even after compression.
How to compress a PDF to 200KB (step by step)
- Open Compress PDF in Chrome, Safari or any browser. It works on Android and iPhone.
- Tap the box and choose your PDF. The file stays on your phone; it is processed inside the browser and not uploaded to a server.
- Keep the compression level on Recommended — balanced and tap "Compress PDF".
- Look at the before-and-after size. If it is under your limit, download it and you are done.
- If it is still above 200 KB, choose Strong — smallest file, or tick "Also convert to black & white". Black-and-white is ideal for marksheets, certificates, ID cards and forms that do not need colour.
- Still too big? Pick Custom and lower the resolution (DPI) and JPEG quality a little at a time. Zoom into the result to make sure the text is still readable before you upload.
Which setting to try for each size limit
These are starting points, not guarantees. The result depends on how many pages you have and how the document was scanned.
| Upload limit | Good first try | If it is still too big |
|---|---|---|
| Below 2 MB | Light or Recommended | Recommended |
| Below 1 MB | Recommended | Strong |
| Below 500 KB | Strong | Strong + black & white |
| Below 200 KB / 100 KB | Strong + black & white | Custom with lower DPI, or remove extra pages |
Be honest with yourself: what this method does to your PDF
Our compressor redraws each page as a JPEG image at a lower resolution and then rebuilds the PDF. That is why it works so well on scans. But it has two side effects you should know about:
- Text becomes part of an image. You can no longer select, search or copy it, and clickable links stop working. For most form uploads this does not matter, because the official only needs to read the page.
- Typed PDFs may get bigger, not smaller. If that happens, the tool tells you and gives you back your original file instead of a worse one.
So if you need to keep text selectable (for example, a resume that recruiters' software reads), do not compress it this way. Typed resumes are usually small enough already.
Compress PDF below 1MB when it has many pages
When a long PDF refuses to fit, reduce what is inside it rather than squeezing harder:
- Remove pages you do not need — blank backs of scanned pages, instruction pages, duplicate copies. Fewer pages means a smaller file straight away.
- Split it if the portal allows several uploads, so that each part fits the limit.
- Then compress what is left with the Strong level.
Starting from photos? Shrink the photos first
If you photographed your documents on your phone, you can control the size before the PDF is even made:
- Crop each photo to just the paper so there is no table or floor around it.
- Compress the photos to a smaller size with our Image Compressor — for example 60–80 KB each for a three-page upload under 200 KB.
- Combine them into one file with Image to PDF, using A4 page size.
This route often gives sharper results than compressing a huge PDF afterwards, because you decide the quality of every page.
When the form wants JPG, not PDF
Some portals ask for a JPG of a certificate or a page of a document. In that case, convert the page with PDF to JPG at 150 DPI and, if needed, reduce it further to the exact KB limit. Do not rename a .pdf file to .jpg — the portal will reject it or show a broken file.
Tips so your upload is not rejected
- Check readability at 100% zoom. If you cannot read the roll number or date, the verifying officer cannot either.
- Keep a copy of the original. Compression cannot be undone, so never overwrite the only file you have.
- Look at the exact limit. Some sites count 1 MB as 1,000 KB and others as 1,024 KB. Aim a little below the limit, for example 180–190 KB for a 200 KB rule.
- Password-protected PDFs need to be opened with the password and saved as an unlocked copy first. Our tools cannot remove or add PDF passwords.
- Upload on good network. A slow connection can time out on government portals even when the size is correct.
Is it safe to compress PDFs online?
Many online compressors upload your file to their server. For Aadhaar, PAN, bank statements and marksheets, that is worth thinking about. ZapToolbox tools run entirely in your browser: the PDF is read and rebuilt on your own device, and nothing is sent to us. You can even switch on airplane mode after the page loads and the tool still works.
Frequently asked questions
How can I compress a PDF to 200KB on mobile for free?
Open Compress PDF in your phone's browser, choose the file, and use Strong with black & white for a scanned document. If it is still above 200 KB, remove extra pages or lower the DPI under Custom.
Why did my PDF not get smaller?
It is probably a typed PDF that is already efficient. Converting its pages to images would make it larger, so the tool returns your original. Delete pages you do not need instead.
Will the text still be clear after compression?
At Recommended it usually is. At very small sizes it can blur, so zoom in and check names, numbers and dates before uploading.
Can I compress a PDF to below 100KB?
Often yes for a one or two page black-and-white scan. For longer documents, 100 KB may not be realistic without making the text unreadable.
