Sign PDF Online Without Printing: Free Phone Guide
· ZapToolbox guides
To sign a PDF online without printing, open our free Sign PDF tool, choose your file, draw your signature with your finger or mouse (or upload a photo of it), tap the spot on the page where it should go, and save the signed PDF. It takes about a minute and the document never leaves your device. Just remember that this adds a picture of your signature, which is not the same as a legally recognised digital signature (DSC) or Aadhaar eSign — we explain the difference below.
Rent agreements, offer letters, school consent forms, quotations and invoices often only need your signature. Printing, signing and scanning wastes time and paper, and the scan usually looks worse than the original.
How to sign a PDF online free (step by step)
- Open Sign PDF in any browser on your phone or laptop.
- Choose the PDF you need to sign.
- Create your signature: draw it in the box, or tap "upload a signature image" to use a photo of your signature on white paper. The white background can be removed automatically.
- Pick an ink colour. Blue or black looks most natural.
- Tap the page where the signature should go. Drag it into position and adjust the size.
- Use Prev and Next to move to other pages that need signing, or tick "Same spot on all pages" for documents that need a signature on every page.
- Tap "Save signed PDF" and download it.
How to sign a PDF on mobile
Signing with a finger on a small screen can look shaky. Two tricks help:
- Turn your phone sideways to get a wider signing box, and sign slowly.
- Use a photo instead. Sign on a plain white sheet with a dark pen, take a clear photo in good light, and upload it. This usually looks the most like your real signature.
If you sign documents often, make a clean transparent signature once with our Signature Maker and keep the PNG on your phone. You can then upload the same signature every time.
Image signature vs digital signature vs Aadhaar eSign
In everyday talk, "digital signature" can mean anything signed on a screen. Under Indian law, it has a narrow technical meaning. Here is the difference in plain English:
| Type | What it is | Typical uses |
|---|---|---|
| Image signature | A picture of your handwritten signature placed on the PDF. Anyone with the image could paste it, and it does not lock the document against changes. | Rent agreements between known parties, offer letter acceptance, school forms, quotations, invoices |
| Digital Signature Certificate (DSC) | A certificate-based cryptographic signature recognised under the Information Technology Act, 2000. It is issued by a Certifying Authority licensed by the Controller of Certifying Authorities, usually on a USB token, and shows if the document is changed after signing. | Company (MCA) filings, many tenders, some GST and tax filings, official documents |
| Aadhaar eSign | An online electronic signature service recognised under the IT Act, where you authenticate with Aadhaar (typically an OTP to your Aadhaar-linked mobile) through a licensed eSign service provider. | Loan agreements, account opening and other digital paperwork offered by banks, NBFCs and service providers |
Our Sign PDF and Signature Maker tools create the first kind only. They do not create a DSC or an Aadhaar eSign.
Is an image signature legally valid?
For many everyday documents, the other party simply needs your signed copy, and an image signature is commonly accepted. But whether it will stand up in a dispute depends on the document and the circumstances, and it is not one of the electronic signature methods specifically recognised under the IT Act. Keep these points in mind:
- If a portal or law asks for a DSC or eSign, an image signature will not do. Use the method they ask for.
- Some documents cannot be signed electronically at all under the IT Act. Its First Schedule excludes items such as wills, powers of attorney, trusts, negotiable instruments other than cheques, and contracts for the sale or conveyance of immovable property. These generally still need ink signatures, and often stamp duty or registration.
- For important contracts — large amounts, property, employment disputes — ask a lawyer which signing method to use.
This is general information, not legal advice.
How to sign a PDF with DSC
If you do need a DSC, you buy it from a licensed Certifying Authority or its reseller, and it usually comes on a USB token with a driver. You then sign with software that supports certificates — for example, Adobe Acrobat Reader's "Use a certificate" option on Windows, or the signing utility of the portal you are filing on. A browser-only tool like ours cannot read a DSC token.
Tips for a professional-looking signed PDF
- Place the signature on the signature line, slightly overlapping it, like you would with a pen.
- Keep the size realistic. A signature as wide as half the page looks fake. About 20–25% of the page width is usually right.
- Add your name and date if the document has spaces for them. Most PDFs that need a signature also need a date.
- Do not send your signature image around casually. Treat it like a key: share signed PDFs, not the signature file itself.
- Keep the unsigned original in case you need to correct something and sign again.
Is it safe to sign a PDF online?
Your signature is personal, so where it goes matters. On ZapToolbox, the PDF and signature are processed only in your browser tab. Nothing is uploaded or stored, and when you close the tab the signature is gone — it exists only inside the PDF you downloaded.
